Organize Your Business

Turn Chaos Into Order with Smart Business Organization

You probably know someone who’s a “jack-of-all-trades, master of none.” A handy, versatile person who is good at a number of tasks, but not expert in any of them.

There are jobs made for our Jack Of All Trades. For example, he’s the right man for building and grounds. Most of his day is spent in maintenance and minor repairs. When there’s major work to be done, our Jack calls in an expert from his list of trusted contractors.

But if owners and managers hire Jack of All Trades for all their jobs, which many do, their company performance can suffer. Asking employees to be on hand for whatever comes their way is a recipe for inefficiency and poor customer service.

We’ve talked before about leadership and how building structure and business organization are two of the most important tasks of a quality leader. Organizing and managing your business operations is the way to efficiently delegate the right work to the right people in the organization.

But where do you start?

Organize Your Business by Running It Like It’s a Franchise

That’s right, imagine your business as a turnkey operation. Structured so that you could hand any enterprising entrepreneur the key and she’d be able to run it.

Do you see where we’re going with this? You’re organizing the business in such a way that even an outsider can understand it. And if an outsider can follow it, so can your employees.

Of course, in order to do this, your business would have to run on a clear framework and uniform standards. So imagine your business as a franchise (even though you have no intention of actually franchising it). It will get you on track to turning chaos into order.

How do you “franchise” your business?

  1. Build quality systems so that it’s as easy as possible for employees to do their jobs. In this way, you leverage systems to get the most out of your employees. And the skill required is less, making it easier to deliver consistent performance.
  1. Run your business in a neat, orderly fashion. A business that looks orderly assures your people that they can trust in their future with you.
  1. Document all work in an Operations Manual. This is a “how-to-do-it” guide that designates the purpose of the work, specific steps that need to be taken while doing that work, and summarizes standards as to the process and result.
  1. Customer service must also be delivered in a predictable and uniform way. Service quality is a powerful competitive weapon that organized business managers can wield with great effect.
  1. Marketing that begins with a consistent, attention getting brand identity. Recognizable logo, colors, and design of your marketing materials that convey professionalism and credibility.
